KIDS Report Descriptions

 
The KIDS system allows staff to generate reports based upon their submitted student data in multiple formats. The list below provides an explanation of each report and indicates under which category of reports in the KIDS Collection system where each individual report may be found. The search feature allows you to search the report descriptions on this page by category or key term but it is case-sensitive. Questions about the KIDS reports may be submitted to kids@ksde.org.

Standard Accepted Records (Batch)

This report shows all records accepted in a particular batch. Users enter the Batch ID number (found in the Batch Info Window), and are returned all records accepted in that batch. Note that school-level users will not see information on batches submitted at the district level.

Standard Accepted Records By Type

This report shows all records accepted for a particular record type. Users select the record type and date range, and are returned all records submitted to KIDS that meet those criteria. Note that school-level users will not see information on batches submitted at the district level.

 

1b
Standard Gained/Lost Students

This report shows all students from a particular date range who were claimed in Assignment, lost in Assignment, or both by the user’s school or district during the current year. School-level users should be able to see all students submitted with their school listed as the AYP school before or after the claim.

Standard Graduates

This report lists any students from the year specified with the user’s school or district listed as the AYP school, with exit withdrawal codes specific to the type of report selected. Users can choose between the AYP and NCES definitions to populate the report. The NCES definition of graduates used for the Principal’s Building Report includes both codes 8 and 9, whereas the AYP definition includes only code 8. School-level users should be able to see all students submitted with their school listed as the AYP school. The year is defined as October 1st through September 30th.

Standard Dropouts

This report lists any students from the selected school year with the user’s school or district listed as the AYP school, and any EXIT record with an EXIT/Withdrawal code that counts as a dropout for the calculation type selected from the dropout menu. Only students in grades 7-12 count as dropouts. The school year is defined as October 1st through September 30th. For the NCES definition, EXIT/Withdrawal Codes of 14, 16, 17, 19 and 20 are included. For the AYP definition, EXIT/Withdrawal Codes of 9, 14, 16, 17, 19 and 20 are counted as dropouts.

Standard Unresolved Exits
This report data is for student IDs who:
  • Are "owned" by the school in KIDS (have the school listed as the AYP school in Assignment)
  • Were submitted at some point last year as part of an ENRL or EOYA record (or both)
  • Were not submitted on an EXIT record last year
  • Have not been submitted to KIDS this year on an ENRL or ASGT record.

School-level users should be able to see all students submitted at the school or district level with their school listed as the  AYP school. This report will not populate until at least one ASGT or ENRL record has been submitted for the current school year.

Standard Retired State Student IDs

This report lists all of the State Student Identifiers (SSIDs) that have been retired from the KIDS Assignment System.  If the retired ID is associated with an active SSID, the active SSID is listed as well.  Users who receive a message in KIDS stating that the SSID they are using is retired can use this list to determine whether the student already has an active SSID before creating a new one.  This should help to avoid the creation of multiple SSIDs for a single student.

Standard Student History

This report shows the current and historical data for a particular student based on his or her State Student Identifier. If the Student searched is currently owned by the user’s school (or one of the schools in the user’s district), they will receive more information on the student in question than if the student is not currently owned by the user’s school (or one of the schools in the user’s district). If the SSID has been retired, the user will need the active SSID to retrieve student information. Refer to the Retired State Student IDs report to find the active SSID.

Standard Current AYP Students

This report will list students who have been submitted to the KIDS System with the user’s building or district listed as the AYP School or district. School-level users will be able to see only students submitted with their school listed as the AYP school. District-level users will be able to see only students submitted with schools in their district listed as the AYP school. Students for whom an EXIT record has been submitted by the user’s AYP school or district will be omitted from this report. This report is updated overnight.

PBR PBR Enrollment
This report shows the data in KIDS that will be used to populate the Enrollment parts A and B screens of the Principal’s Building Report, which includes the student headcount by school based on:
  • Grade
  • Gender
  • Race/ethnicity
  • Exceptionality
  • ESOL Program Participation.
School-level users should be able to see all students submitted at the school or district level with their school listed as the funding school. Students marked as “1” or “3” on D18 Virtual Education Student will not be included in the totals on the PBR for School Lunch and ESOL.

Note: Due to privacy regulations, school lunch data does not appear on this report. Users should retrieve school lunch information from their own systems to compare with KIDS records.

PBR PBR Weighting - Voc Hours

This report shows the data from field D46 (Technical Education Contact Minutes) in KIDS that is used to populate the Vocational Contact minutes field on the Enrollment part C screen of the Principal’s Building Report. School-level users should be able to see all students submitted at the school or district level with their school listed as the funding school. Students marked as “1” or “3” on D18 Virtual Education Student will not be included in the totals on the PBR.

 

2b
PBR PBR Weighting - ESOL

This report shows the data in KIDS that is used to populate the ELL/Bilingual Student Contact Hours on the Enrollment part C screen of the Principal’s Building Report.  KIDS data is collected in field D44 (ESOL  Bilingual Student Contact Minutes). Original KIDS data is displayed in the report column labeled “Original ESOL Contact Minutes.”  Data displayed in the column labeled “ESOL Contact Minutes” has been adjusted to match the calculations in the PBR.  For instance, if the grade is 06 or higher, it looks to see if the minutes reported are greater than 360.  If they are it sets them to 360, if they aren’t  it checks to see if they are greater than 180.If they are it sets them to 180, if they are lower than 180 it leaves them as reported in KIDS.School-level users should be able to see all students submitted at the school or district level with their school listed as the funding school.  Students marked as “1” or “3” on D18 Virtual Education Student will not be included in the totals on the PBR.

 

2c
PBR PBR Misc. Enrollment

This report shows the data from field D26 (Concurrent High School Enrollment) in KIDS that is used to populate the Enrollment part D screen of the Principal’s Building Report. School-level users should be able to see all students submitted at the school or district level with their school listed as the funding school.

 

2d
PBR PBR Part-Time Students

This report shows the data collected in field D25 (Minutes Enrolled) in KIDS that  is used to populate the list of part-time students on the Enrollment part E screen of the Principal’s Building Report.. A part-time student is a non-SPED student whose minutes enrolled are below 342, or if concurrently enrolled, below 285. School-level users should be able to see all students submitted at the school or district level with their school listed as the funding school.

 

2e
PBR Virtual Education Students Report

This report shows the data on Virtual Education Students (D18) in KIDS. Students who are marked as a “1” or a “3” on D18 Virtual Education Student and submitted on an ENRL record will appear and will be used to populate the Enrollment Part B screen of the Principal’s Building Report (PBR).

SO66 SO66 Transported Students

This report shows the data from transportation fields (D51 through D55) in KIDS that is used to populate the Transported Students screen of the Superintendent’s Organizational Report. Students who are marked as a “1” or a “3” on D18 Virtual Student do not count for transportation funding and will not be included on the Transported Students screen in the S066. 

 

3a
SO66 SO66 Non-resident Students

This report shows the data from field D3 (Residence District Identifier) in KIDS that is used to populate the Enrollment part B Non-Resident Students Counted screen of the Superintendent’s Organizational Report. Students who reside outside the district are listed.  

 

3b
SO66 Out of State Students

This report shows the data from students with “0001” entered in field D2 (AYP/QPA School) in KIDS. This data is used to populate the Enrollment part C Out-of-State Students screen of the Superintendent’s Organizational Report.

 

3c
SO66 Juvenile Detention Center Students

This report shows all students submitted with a value of “0003” in field D16 (Funding School), the district’s central office number as AYP school, and the building code for the Juvenile Detention Center in field D17 (Attendance School).

Assessments Assessments Roster

 This report provides information about TEST records submitted to KIDS by either the AYP school or an attendance school or district.   Users can see the most recent TEST records submitted with their school listed as the AYP school for each student by subject. If a “C” code has been submitted for a student in any subject, the record for that subject will be omitted. Users may refer to the Cleared Assessments report for information on subjects that have been cleared. Students for whom an EXIT record has been submitted with an exit/withdrawal date falling on or before the first day of the testing window for a particular subject will have those subjects omitted from the report. However, students with an EXIT record having an exit/withdrawal date within or after the close of the testing window for a specific subject area will have those records displayed, including the exit information (Exit/Withdrawal Date and Type). If the exit date would cause one subject to be omitted but does not affect the others for a particular student, all of that student’s subject records will display and will include the exit information. Likewise, if the student has an exit date that falls between the closing date of the fall testing window and the opening date of the spring testing window (where applicable) all subject records will be displayed for the student and will include the exit information. This report can be filtered by five different assessment types: All, Alternate, General, KAMM, and KELPA.

Assessments Cleared Assessments Roster
This report provides information about TEST records submitted to KIDS by either the AYP school or an attendance school or district with a “C” code for any subject.   If an AYP school sends a TEST record indicating an assessment for a particular student and subject, and an attendance school submits a “C” code record for the same student and subject, the AYP school’s record takes precedence, and the “C” coded record will not appear in the Cleared Assessments Roster.
4b
Discrepancies SPED Discrepancy Report

This report shows a comparison between the most recent Special Education System data (submitted in December & June) and the most recent KIDS data for fields D33 (Primary Exceptionality), D34 (Secondary Exceptionality), and D35 (SPED Program Ending Date). The four different messages in the "Results" column are defined as follows:

  1. Not in KIDS: There is a record for the student in Special Education System with a Secondary and/or Primary Exceptionality Code but there is either:
    • No record in the KIDS Collection System for the current school year for the State Student ID at all, or
    • No record in the KIDS Collection System for the current school year with a Secondary and/or Primary Exceptionality Code
  2. Not in the Special Education System: There is a record for the student in KIDS with a Secondary and/or Primary Exceptionality Code but no record in the Special Education System with a Secondary and/or Primary Exceptionality Code.
  3. Exceptionality Mismatch: There are records for the Student in Special Education System and in KIDS, but the Secondary and/or Primary Exceptionality codes are not the same.
  4. Match: There is a record for the student in Special Education System and in KIDS and the Secondary and/or Primary Exceptionality codes are the same School-level users should be able to see all students submitted with their school listed as the AYP school.

 

5a
Discrepancies Migrant Discrepancy Report

This report is a listing comparing the migrant students in the Migrant System to the students in the KIDS Collection System that have been given a non-blank value in field D37 (Migrant Status) during either the TEST or EOYA data collections.

 

5b
Discrepancies Virtual Schools Discrepancy Report

This report shows any student submitted as a virtual student (D18) on an EOYA record who was not submitted previously as a virtual student on either an ENRL or MILT record or any student reported as a virtual student on either the ENRL or MILT collections who was not reported as a virtual student on their EOYA record.

 

5c
Discrepancies Graduation Discrepancy Report This report lists all students which have been reported as graduated by more than one AYP school in the same school year, even if the schools are in the same district. A graduate is defined as a student who has had an EXIT record submitted to KIDS by their AYP school with a value of 8: Graduated with Regular Diploma in field D28: EXIT/Withdrawal Type. A separate row will be populated for each AYP school reporting the student as a graduate.



5d
Accountability TITL Attendance Rate—Detail

This report calculates the Attendance Rate for each student by Funding School. (Student Attendance Rate = days in attendance ÷ days in membership.) The Attendance Rate calculation represents attendance from the beginning of the school year through December 1st. School-level users will be able to see all students submitted with their school listed as the funding school. 

 

6a
Accountability TITL District Average Daily Attendance

This report calculates the funding district’s Average Daily Attendance (ADA) by summing the School ADA calculations for each school in the district. Each School’s ADA is calculated by locating the maximum value for D22 (Cumulative Number of Days in Membership) for each school and dividing the total attendance days for all students in each school by this number. The District ADA calculation represents attendance from the beginning of the school year through December 1st of the school year.

 

6b
Accountability TITL ESOL and Immigrant Students

This report lists all students submitted via TITL records with either an ESOL participation code in D42, an Immigrant code in D58, or both. Only the most recently-submitted TITL record for each State Student ID (D14) within a particular Funding School (D16) will appear on this report.

 

6c
Accountability The AYP Drop-Out Percentage Report

This report is the final percent of dropouts based on all students submitted on EXIT records from October 1 of the current school year to September 30 of the following school year with EXIT codes 9, 14, 16, 17, 19 or 20. Please note that EXIT data submitted from October 1, 2007 through September 30th, 2008 will be used for the 2009 AYP report card and dropout calculations.

 

6d
Accountability Truancy

This is a school-level report listing all students reported as truant in field D24 on the EOYA record.

 

6e
Accountability Student Attendance Ratio Report

This report includes the days in attendance data, the days in membership data, and the attendance ratio (days in attendance ÷ days in membership) for each individual student. This report will allow the user to sort the attendance ratios from smallest to largest so that they can quickly identify attendance and membership data that may be inaccurate. Corrections can then be made through the submission of updated KIDS EOYA records. Note: This report is primarily a tool to help schools submit accurate attendance and membership data for each individual student. The average of the total attendance ratios for all students will not equal the attendance rate calculation.

 

6f
Accountability Attendance Rate Report (by school or district)

This report is a listing of the attendance rate (at the school or district levels). The attendance rate calculation is as follows: Attendance Rate = sum of all days in attendance ÷ sum of all days in membership.

 

6g
MILT Student of Military Families – District Eligibility for Additional Funding

This report shows the FEB 20th MILT FTE compared to the September 20th ENRL FTE, the percent change, and whether or not the district is qualified for additional MILT funding based on the data that they have submitted. At least 1%  MILT FTE  qualifies for additional funding.
A total MILT FTE >= 25 qualifies for additional funding.

 

7a
MILT Student of Military Families – Not Counted Sept 20 ENRL

This report shows the students who were submitted as children of military families in field D57 for the February 20th MILT Collection, and who were not counted with the district’s ENRL submission on September 20th. School-level users should be able to see all students submitted with their school listed as the funding school.
